Evidence Systems bouwt datasystemen waarin elke bewering naar de bron kan worden teruggevoerd, en we kunnen ze voor u beheren. We werken samen met ngo’s en non-profitorganisaties, financiers, overheidsdiensten en onderzoeks- en beleidsteams in Zuid-Afrika en internationaal. We bieden drie diensten. Een audit van een datasysteem: een analyse met een vaste scope van uw informatie, wat ermee mis is en wat nodig zou zijn om dat te herstellen. Het bouwen van een datasysteem: een werkend systeem dat aan uw team wordt overgedragen en waarin voor elk record een link naar de oorspronkelijke bron behouden blijft. Een beheerde dataservice: een aangewezen beoordelaar voert uw rapportagecyclus uit en is verantwoordelijk voor de output. Evidence Systems (Pty) Ltd is gevestigd in Kaapstad en werd mede opgericht door Romanos Boraine en Ruby (Tran Hong Ngoc).

I help research teams, public-sector projects, donor-funded contractors, NGOs, programme teams and service businesses turn messy information into structured data systems, traceable evidence workflows and clearer reporting outputs. My work usually starts when useful information is spread across spreadsheets, PDFs, interviews, public submissions, case studies, reports, folders, forms, emails or draft documents, but the team does not have a clear system for collecting, structuring, analysing, reviewing or using it. I support data discovery, data extraction, data consolidation, data quality, qualitative data analysis, AI-assisted research workflows, AI knowledge bases, reporting dashboards, decision-support tools and practical database structures. This can include source registers, evidence tables, coding frameworks, quote banks, public submission matrices, reporting packs, dashboards, Custom GPTs and workflow maps. The aim is not to build generic AI tools or overcomplicated software. The aim is to help teams collect better data, structure it into traceable evidence, and turn it into reports, dashboards, briefing notes, AI knowledge bases or decision-support outputs that people can actually use. Recent proof includes a South African Local Government White Paper evidence workflow, a UNICEF Zambia child poverty evidence workflow for 120 narrative case studies, and a UNICEF Palestine situation analysis recovery workflow. I work best where source traceability, human review, usable systems and clear reporting outputs matter.

My AI work is focused on source-grounded use cases, not generic chatbot builds or unchecked automation. I help teams prepare source material, structure document libraries, design AI knowledge bases, build Custom GPTs, create prompt libraries, define review rules and set up workflows for retrieval, classification, comparison, summarisation and drafting support. This is especially useful for research teams, public-sector projects, donor-funded contractors, NGOs, policy teams, evaluation firms, report writers and service businesses that want to use AI, but need the outputs to stay tied to approved source material. Typical projects include AI knowledge bases for project documents, Custom GPTs for evidence retrieval, AI-assisted qualitative coding, public submission analysis support, document Q&A systems, report drafting support, internal knowledge assistants and AI workflows for turning scattered information into clearer outputs. I do not build AI to replace expert judgement. I use AI where it can reduce manual searching, sorting, coding, summarising or drafting time, while keeping source traceability, human review and clear output rules in the workflow.
